Guidelines for presenters – (As at 5 September 2005)

ASLA Online II: Vistions of Learning - 8th to 26th May 2006

Presenters who have submitted abstracts to the ASLA Online II: Visions of Learning international online conference have been advised of their acceptance and should now be preparing their papers. 

All papers that meet the guidelines will be published in the password protected, secure conference environment and in the online conference proceedings. Presenters who have requested their paper to be refereed will need to meet the peer review guidelines as published in the Call for Abstracts.  (See also: Reviewer Instructions.)

All papers will need to be on the conference website no later than end February 2006.  They will be password-protected and available to Conference participants only at least six (6) weeks prior to the commencement of the conference.  A CD-ROM copy of the proceedings will be mailed to you following the conference.

DUE DATE FOR PAPERS
All papers submitted for inclusion on the conference website must be received at the ASLA Online Secretariat by 28 November 2005 for refereed papers and 18 December 2005 for non-refereed papers. This will allow sufficient time for the peer review process for refereed papers, preparation of the website, and preparation for publication prior to the start of the conference.

GENERAL COMMENTS
All contributors are asked to prepare papers in accordance with the ASLA Referencing Guide.

COVER PAGE
The cover page should include the title of the paper, the author(s)’ full name(s), organization, country, disclaimers (if any), and an abstract of no more than 300 words. 

WRITING STYLE
Papers should be written in correct, simple and readable style.  Check all statements, names and references for accuracy.  Avoid discriminatory or sexist language.

WORD LENGTH
Papers should not exceed 3000 words with a maximum of 6 diagrams or figures.  The preferred word length for papers is 2,500 – 3,000 words.  All authors/presenters are urged to keep within the word limit.

REFERENCING (see also ASLA Referencing Guide)
Textual references and notes
In-text references should be cited using the author’s last name and publication date, e.g. (Jones 1999).  If quotations are cited, these should additionally have page numbers, e.g. (Jones 1999, p. 10).  Footnotes should be avoided where possible and relevant text should be included in the body of the paper.  If necessary, explanatory notes, numbered consecutively and marked in the text with superscript numerals, can be placed at the end of the paper before the reference list under the heading ‘Notes’. 

References
Please include a list of references at the end of your paper.  The reference list should be arranged in alphabetical order using the Harvard author-date system, as set out in the ASLA Referencing Guide, and should include only those items specifically referred to in the body of the paper. Examples are provided at the end of this document as a guide only.  The priority is for consistency of style within your paper.

FORMAT
All papers should be electronically produced, i.e. word-processed, and single-spaced throughout in Times New Roman font, 12-point type.  Use two ‘carriage’ returns between paragraphs and between citations in your reference list.  A template is provided as a guide to headings styles. Use bold type headings for sections of your paper where appropriate following these guidelines for font style and type size. Preference is for receipt of papers in Word (.doc), rich text (.rtf) or plain text (.txt) format.  Tables, diagrams and illustrations should be in separate electronic files.

GRAPHICS AND ILLUSTRATIONS
Presenters are invited to include, up to a maximum of 6, figures, tables, diagrams and/or photographs, to illustrate their paper.  All illustrations and figures, especially tables, must be numbered sequentially and supplied on separate electronic files.  N.B. Please do not set tables, figures or diagrams within the text.

Figures, charts and diagrams must be supplied in electronic form.  Please indicate placement of figures and tables in the body text, i.e. insert Figure 3 here.   Each illustration should also include a brief, meaningful caption.

PROOFREADING
Presenters should have their papers carefully proofread before sending final copy.  We reserve the right to make minor editorial and formatting changes to ensure consistency.

COPYRIGHT AND PERMISSIONS
Presenters should obtain permission in writing for materials they wish to quote or use, such as text, poems, pictures, cartoons, etc.  This is the sole responsibility of the author/presenter.

SUBMISSION COPIES
Please provide one electronic copy of your paper to the ASLA Online Secretariat. 

ADDITIONAL FILES
Additional files e.g. PowerPoint presentations, multi media, MPEG, audio files used by presenters can be included, space permitting.  If you would like these included with your conference paper please send these files along with your Conference Paper files.
